QuickBooks Online
PDF bank statement to QuickBooks Online
Turn a PDF bank statement into a CSV that QuickBooks Online imports first time: 3 or 4 columns, one date format, plain amounts, under 350 KB.
The short answer
QuickBooks Online cannot import a PDF statement directly; it needs a CSV with Date, Description and Amount (or Credit and Debit) columns. Extract the transaction table from the PDF, remove headers, balances and totals, put dates in one format and amounts as plain numbers, then upload it under Transactions → Bank transactions → Upload from file.
How to do it with Rowvio
- 01Drop the PDF statement into Rowvio (scanned statements are read with OCR).
- 02Rowvio finds the transaction table on every page and removes repeated headers, opening and closing balances and totals.
- 03Choose QuickBooks Online and the 3-column or 4-column layout.
- 04Check the free preview: every changed date and amount is highlighted.
- 05Download the CSV and upload it in QuickBooks: Transactions → Bank transactions → Upload from file.
What QuickBooks Online expects
| Date | One format for the whole file, matching the format you pick on the mapping screen |
| Description | Text, one line per transaction |
| Amount | 3-column layout: money out negative, money in positive |
| Credit / Debit | 4-column layout instead of Amount: two positive columns |
| File | CSV, UTF-8, one header row, under 350 KB |
Common errors and what causes them
"Error importing"
Usually an extra title row above the headers or a balance row at the bottom.
Dates swapped (12 June shows as 6 December)
The file mixes DD/MM and MM/DD, or the mapping screen format does not match.
All amounts appear as money in
Money out was not negative, or brackets/CR/DR were left in the amounts.
File too large
QuickBooks Online accepts bank files up to 350 KB. Split by month.
