PDF bank statement to Xero

Get transactions out of a PDF bank statement and into Xero's statement import: one signed Amount column, dates in your organisation's format.

The short answer

Xero imports bank statements as CSV, OFX or QIF, not PDF. Extract the transactions from the PDF, combine money in and money out into one Amount column (money out negative), use one date format matching your Xero region, and import under Accounting → Bank accounts → Import a statement.

How to do it with Rowvio

  1. 01Drop the PDF statement into Rowvio.
  2. 02Rowvio extracts every transaction row and merges debit and credit columns into one signed amount.
  3. 03Choose Xero → Bank statement and your region (sets date order).
  4. 04Review the preview and the checks (dates, amounts, no blanks).
  5. 05Download and import in Xero: Accounting → Bank accounts → your account → Import a statement.

What Xero expects

AmountOne column, money out negative

FileCSV with one header row

Common errors and what causes them

Amounts reversed

The bank exported money out as positive. Flip the sign or map debit/credit separately.

"Invalid date"

Dates are in a different order than your Xero organisation's region.

Duplicate transactions

The same period was imported twice; Xero does not always catch it.

Questions

Can Xero read a PDF statement?

Not for import. Hubdoc can capture documents, but statement lines must come from a bank feed or a CSV/OFX/QIF file.

What about older statements?

Rowvio handles multi-page and multi-month PDFs; a repeated table header on every page continues the same table.
