PDF invoices to one Excel file

Pull invoice numbers, dates, totals and line items out of many PDF invoices from the same supplier into one Excel workbook, with totals checked.

The short answer

Mark the values once on one invoice (invoice number, date, total) and draw a box around the line-item table, save that as a template, then run it on every invoice from the same supplier. Rowvio finds each value by the label next to it, checks that line items add up to the subtotal, and gives you one workbook.

How to do it with Rowvio

  1. 01Drop the month's PDF invoices into Rowvio → Capture from PDFs.
  2. 02Accept the values Rowvio finds (invoice no, dates, totals) and the line-item table, or click your own.
  3. 03Save the template under the supplier's name.
  4. 04Run it on all PDFs; review only the invoices flagged by the totals check.
  5. 05Download Excel: a Documents sheet (one row per invoice) and a Line items sheet.

Common errors and what causes them

Values missing on some invoices

The layout moved; Rowvio follows the label next to each value, so check that the label exists on that invoice.

Line items don't add up

A wrapped description or a missed row; the invoice is flagged for review.

Questions

Do invoices need the same layout?

Templates work per supplier. Small shifts (more lines, longer names) are handled.

Scanned invoices?

Yes, with OCR in your browser.

Are invoices uploaded?

Files are processed in your browser and never uploaded to Rowvio's servers.
